Please Read Before the Event

Hi Vendors,
We are so excited to have you join us for the NC Homeschool Convention™ at the NC State Fairgrounds in Raleigh, May 1-2.
This page includes important details about arrival, setup, check-in, scavenger hunt participation, grab bag materials, booth expectations, and breakdown.
Please review everything carefully so your experience goes smoothly.

Please follow the event map below and the directions provided. You will enter the NC State Fairgrounds from Trinity Road off of Blue Ridge. It is GATE 9.

Arrival & Vendor Check-In
When you arrive, please go to the vendor check-in table at the front of the building.
At check-in, you will receive:
- Vendor lanyards
- Booth location
- Any final event updates
After check-in, you may pull your vehicle to the side of the building to unload.
If you need to drive into the building for unloading, this must be requested in advance. Email [email protected]. We will coordinate approved setup times as needed.
Setup Times
- Setup begins at 9:00 AM
- All booths must be fully set up and ready by 11:30 AM
Vendors not fully operational by 12:00 PM may be subject to a late setup fee.
Important Setup Flow
- Bring all materials inside first
- Move your vehicle promptly
- Return to complete your booth setup
This helps all vendors access the building efficiently.
Parking & Security Reminder
There will be multiple events happening at the fairgrounds, especially on Saturday.
Please:
- allow extra time for arrival
- lock your vehicle at all times
- avoid leaving valuables visible
There will be a high volume of guests across the NC State Fairgrounds that weekend.

Booth Staffing
Please submit all team member names through the Vendor Arrival & Staffing Form.
You may rotate team members throughout the day. This helps us:
- Prepare the correct number of lanyards
- Ensure smooth entry for your team
Scavenger Hunt
Participation in the Scavenger Hunt is limited to vendors who selected this add-on and received confirmation in advance. If you are unsure whether you are participating, please see the list below. Unauthorized participation is not permitted.
🎈 Scavenger Hunt Participants
If you’re one of our Scavenger Hunt participants, thank you for helping us create a fun and interactive experience for our guests!
This was a big hit last year! Families really loved it, and we had hundreds of guests complete their cards. It’s a great way to bring consistent traffic throughout the event.
Here’s what to expect:
- Your official stamp will be delivered to your booth after check-in
- A balloon will be tied to your pipe and drape so families can easily identify your booth 🎈
As guests visit participating booths, they will collect stamps on their Scavenger Hunt card. Before stamping, we encourage you to take a moment to briefly engage with each family. This is a great opportunity to connect and share what you offer.
Once guests have collected all stamps, they will bring their completed card to the Modern Homeschools booth to receive a beautiful butterfly pin 🦋
We’ll also encourage families to snap a photo with their pin and tag with #NCHomeschoolConvention.

Grab Bag Materials (For vendors participating)
We must have your printed materials by Wednesday so we can stuff all the attendee grab bags. We prefer your brochure, postcard, item, etc., to be smaller than 8x11.

Please have your item created at this FedEx. We will pick up materials for all vendors on Wednesday at the same time.
Option 2: Drop Off Materials
If you already have your materials, or prefer to print them another way, you will need to coordinate with Amy a drop-off location.
We will need your materials by Wednesday because that is the day we stuff all several hundred grab bags. Email [email protected] to coordinate a drop-off time.
Speaker Information
If you are a speaker, you will receive additional instructions separately.
Please note:
- All speakers are upstairs this year
- Sessions will not be held on the main stage
- The stage will be set for the graduation ceremony planned for Saturday evening
Booth Conduct & Courtesy
Please help us create a positive and professional environment:
- Keep noise at a respectful level
- Avoid loud music, microphones, or disruptive displays
- Stay within your assigned booth space
- Keep walkways clear
- Be courteous to neighboring vendors
Not Permitted
As a reminder, the following are not allowed:
- Amplified sound or disruptive audio
- Open flames, candles, or cooking equipment
- Unpackaged food or beverages
- Flags or stickers
- Helium balloons
- Content or materials that are offensive, divisive, or inconsistent with the event’s mission
Breakdown
- Breakdown begins at 4:00 PM
- Early teardown is not permitted
- Pack up your entire booth first, then move your vehicle close to the building to load. Do not move your car until you are ready to load. This helps ensure the flow for all vendors to break down promptly.
Because the NC Homeschool Graduation takes place that evening, we need to reset the space quickly.
